4 tools for ultimate productivity & organization

Nov 2, 2015

Let me tell you, I am a sucker for trying apps on the cloud and I have done my share of testing and reviewing many tools to make my personal productivity sky rocket. I also always went looking for apps that could organize everything that I do and as a designer, I wanted interfaces that were beautiful and easy to use. So here are a few that I can say I am totally in love with and I hope you’ll use one or all four and find it sky rocketing your productivity too! By the way, these apps can be used in any office for free and it really doesn’t matter if you’re a creative agency, a real estate agency or some other type of business. They will work wonders for you!

1) Evernote

You are probably thinking “oh another note app” but let me tell you, you’re wrong. Evernote is not just another note app on your cell phone or desktop. This app is jam-packed with all sorts of useful features within the free plan and it’s a great tool to have in the office, period.

Notes can be created in 5 different ways. You can create a “new note” and within it you can add reminders, attachments and audio! You can create an “ink note” for those that like to write notes via stylus. You can create a more focused “audio note” or even a “webcam note” and finally you can create a “screen shot note” with the ability to add annotations.

But I think the greatest features of all is that Evernote lets you share notes with your colleagues, has in-built “work chat” to make communication easier, and it lets you sync your notes across all devices. You’ll never have to leave your workspace again.

If you are not convinced, I think you should just experience it yourself because I am proud to be an Evernote user and I can’t get tired of recommending it.

3) Toggl

I discovered this tool years ago when I was browsing the web trying to look for something that can track my design time, and let me tell you it’s a great app for that but it does so much more! This app’s real power is for billing. So if you’ve been looking for an app that can track working hours and bill clients for that time, this is it. Don’t go looking for anything else!

2) Asana

Like Evernote, Asana is an all-round perfect app and they just got a makeover, so you’ll be using an even sleeker interface than I was using last year. Lucky you!

One of the coolest features on Asana is the description area for tasks. I mean obviously you want to add as many details as possible for any task and attach important files for your team. You can add due dates and even subtasks. The even cooler thing is the comment section right at the bottom of the description area that allows you to chit chat back and forth with your team about the project that needs to get done.

Asana is truly indispensable, and it’s free!

4) Spideroak

Spideroak is the perfect alternative to google drive, dropbox and one drive. Now I am not saying that any of the other cloud storage providers are bad but I am saying that Spideroak is superior when it comes to your privacy and security. I am a big security nerd and I think any business should be too if they are handling sensitive files. The price is perfect, running at $12 per month for 1TB of storage and they have enterprise solutions. This is the real deal on private storage and it’s an amazing way to organize and share your files safely online.
